Safety & Illness Policy

Key Points


  • We encourage all attendees to receive the latest vaccines (flu, COVID-19, etc.)
  • Masks are not required
  • Contact the event organizers immediately if you are feeling unwell
  • As with any in-person event, there is a risk associated with attending Session

Although we will do our best to prevent the spread of any illness at our event, it is difficult to predict what the situation will be during Session. This page is intended to outline the precautions that will be in place at Session.

Minimum Safety Protocols


All attendees at Session are encouraged to receive the latest vaccinations (flu, COVID-19, etc.) if they have not done so. Masks are not required, but are recommended for any attendees who are feeling unwell. Additionally, the following safety precautions will be enforced to ensure the safety of all our attendees:

  • You must immediately contact an event organizer if you are feeling unwell
  • Anyone exhibiting symptoms for any infectious disease will be asked to leave the event immediately
  • Maintain a safe distance from each other in all sleeping areas

It is important to us that our event remains as accessible as possible. If you require additional accommodations, such as eating in an open space or private sleeping quarters, please reach out to info@ypmanitoba.ca.

Mental Health and Conflict Resolution


Our week-long mock parliament brings together individuals with diverse beliefs and opinions, and the close proximity during the event can sometimes result in conflicts or heightened emotional responses. Additionally, some attendees may find it challenging to adjust to the new and fast-paced environment. We are committed to supporting our attendees through these challenges and fostering a respectful, inclusive environment.

Mental Health

  • In the event that an attendee is experiencing a mental health crisis, they will be moved to a safe, supervised space separate from the rest of  Session. Our board and volunteers will monitor the attendee while further arrangements are made to ensure their safety and wellbeing.
  • For attendees under 18, their parent or guardian will be contacted to discuss next steps for ensuring the attendee’s continued safety and wellbeing.
  • For attendees aged 18 and older, their emergency contact will be notified only with their consent, unless there is an immediate danger to their safety or the safety of others.

Conflict Resolution

  • Code of Conduct Violations:
  • Personal Conflicts:
    • Members of the board or their designees will attempt to mediate between attendees involved in personal conflicts whenever possible.
  • Wellbeing and Safety Concerns:
    • If a conflict pertains to the physical or mental wellbeing of any attendee or involves a Code of Conduct violation, the attendees involved will be separated to ensure their safety and maintain confidentiality.
    • For attendees under 18, their parent or guardian will be contacted to discuss next steps.
    • For attendees aged 18 and older, their emergency contact will be notified only with their consent, unless immediate safety concerns require otherwise.

Medical Emergency Policy


As supervisors of an overnight event for youth aged 16-20, YPM has a responsibility to address medical emergencies quickly and appropriately. The following protocols will be followed:

1. Emergency Response:
  • In the event of a medical emergency, the closest medical services will be contacted immediately (e.g., 911).
  • Designated board members and volunteers trained in first aid will assist until professional help arrives. If an attendee requires transportation to the hospital then a board member will accompany them and stay with them until their guardian or emergency contact arrives.
2. Parental/Guardian Notification:
  • For attendees under 18, their parent or guardian will be notified as soon as it is safe and practical to do so.
  • For attendees aged 18 and older, their emergency contact will be notified only with the attendee’s consent, unless immediate safety concerns require otherwise.
3. On-Site Safety:
  • First aid kits will be available at all event venues.
  • Attendees will be informed which board members and volunteers are trained in first aid and the locations of emergency exits at all event venues.
4. Medication and Allergies:
  • Attendees are required to submit any relevant medical information during registration, including allergies and pre-existing conditions, to help board members and volunteers respond effectively in emergencies.
  • Medications must be managed responsibly, and with supervision as needed. If an attendee will be taking medications during Session, please contact the event organizers so that necessary arrangements can be made.

Mandatory Reporting


As required by law, YPM board members and volunteers are mandated reporters. If an attendee discloses information indicating they are at risk of harm, board members and volunteers will report the matter to the appropriate authorities to ensure the attendee’s safety.
